In the frenetic world of business, time is perhaps your most precious resource. Yet, it’s often the one thing we find slipping through our fingers, leaving us feeling overwhelmed and underproductive. As the saying goes, “If you don’t prioritize your time, someone else will.”

I recently had a revealing conversation with an executive who was grappling with this very issue. Despite holding a high-level position, his days were consumed by back-to-back meetings, leaving him with little time for strategic thinking or essential tasks. Sound familiar?

Here’s an example of how that happens. An employee joins a company and almost immediately makes a great impression. After a few years of remarkable work, they are identified as a high performer with leadership potential. So, they get invited to attend a weekly meeting to gain exposure to others in the business and to contribute.

And contribute they do! So, they are given more responsibility, which leads to more meetings and even more to do. This causes them to put in more and more hours at work, in the evenings, on vacations and during family outings. This continues over time, and they rise to a leadership position in the company. But they haven’t “uninvited” themselves to all the meetings they’ve become accustomed to attending. They become overextended, overcommitted, and overloaded.

Back to the executive I was coaching:  Upon closer examination of his schedule, it became evident that decision fatigue was setting in. The more decisions he made, the poorer the quality of many of those decisions. His valuable time was being squandered on tasks that could easily be delegated or eliminated altogether.

It was a classic case of being trapped in the weeds of day-to-day operations, neglecting the bigger picture of steering the ship forward. It was clear that he was only doing a little of the leadership job he had earned and risen to. The business was working him when he should have been freed up to work on the business.

Together, we embarked on a journey to reclaim his time and focus on what truly matters. Here are some strategies we implemented that might resonate with you:

  1. Prioritize ruthlessly: Identify the most critical tasks aligned with strategic goals and tackle them first. Everything else can wait.
  2. Delegate wisely: Trust your team to handle tasks that don’t require your direct attention. Empower them to take ownership and thrive.
  3. Schedule time for strategic work: Block off dedicated slots in your calendar for high-value tasks. Guard these time blocks fiercely against interruptions.
  4. Embrace technology: Leverage tools and software to automate routine tasks, freeing up mental bandwidth for strategic thinking.
  5. Learn to say “no”: Be discerning with your time. Politely decline non-essential meetings or requests that detract from your priorities.
  6. Minimize distractions: Create a conducive work environment by silencing notifications and setting boundaries to protect your focus.
  7. Batch similar tasks: Group similar activities together to minimize context switching and maximize efficiency.
  8. Master time-management techniques: Experiment with methods like the Pomodoro Technique or time blocking to optimize your productivity.
  9. Invest in self-care: Remember to prioritize your well-being. A healthy mind and body are essential for sustained peak performance.
  10. Regularly review and adjust: Take stock of your schedule regularly. Be willing to adapt and refine your approach as needed.

Your time is a precious commodity. By taking proactive steps to manage it effectively, you can reclaim control of your schedule and focus on what truly moves the needle. Remember, the decisions you make about your time today will shape your success tomorrow.
